WordPress Admin -> Unified KM -> Sync

 

Use the Sync page to review, edit, and import pets from your data sources into your WooCommerce store. Preview Mode is recommended for most workflows because it gives you a chance to review each pet before importing.

1. Choosing a Sync Mode

Select your preferred mode using the toggle at the top of the page.

2. Preview Mode (Recommended)

Preview Mode walks you through four steps:

  1. Preview file – Load a file to see its pets.
  2. Review and edit – Update prices, names, photos, and other details.
  3. Accept or decline – Choose which pets should be imported.
  4. Import – Create WooCommerce products for accepted pets.

Step 1: Load a File

The Available Files table lists every file ready for syncing. Each row shows the source, file name, pet count, and total cost.

  • Click Preview next to a file to load it.
  • If no files are listed, check your data source settings under Unified KM -> Settings.

Step 2: Review and Edit Pets

Once a file is loaded, you will see a table of pets along with live stats showing how many are Pending, Accepted, and Declined.

Search and filter

·       Use the search box above the table to filter by breed, microchip number, coloration, or pet name.

While a pet is in Pending status, these fields can be edited directly in the table. Changes save automatically as you type or select a value. A brief green highlight confirms each save.

Required Fields

Before a pet can be imported, it must include all of the following:

  • At least one price, either regular or sale
  • A pet name
  • An acquired date
  • A photo

Missing fields are highlighted with a red border so they are easy to identify.

Auto-Name Pets

  • Single pet: Click the shuffle icon next to the name field to generate a unique name.
  • All unnamed pets: Click Auto Name in the table header to generate names for every pending pet that does not already have one.

Fill Acquired Date

  • Single pet: Click the calendar icon next to the date field to open the date picker.
  • All pets: Click Acquired Date in the table header to fill today’s date into every pending pet date field.

Upload or Change a Photo

Click a pet photo thumbnail or the plus placeholder to open the file picker. Accepted formats are JPEG, PNG, GIF, and WebP. The image uploads to the WordPress media library and is linked to the pet automatically.

Step 3: Accept or Decline Pets

Individual Actions

  • Accept: Click the checkmark button on a pending pet row. If required fields are missing, a warning will list what is needed. You can proceed anyway or go back and complete the missing details.
  • Decline: Click the X button. A dialog appears where you can optionally enter a reason. Declined pets will not appear in future syncs of the same file.
  • Undo accept: Click the undo arrow on an accepted pet to return it to Pending so you can make further edits.

Bulk Actions

  1. Use the checkboxes to select multiple pets, or use the header checkbox to select all eligible pets.
  2. A toolbar appears showing how many pets are selected.
  3. Click Accept Selected or Decline Selected to apply the action to every checked pet at once.

Note

·       Imported, declined, and already-imported pets cannot be selected.

 

Step 4: Import Accepted Pets

  1. Scroll to the bottom of the page to find the Import section.
  2. Click Import N Accepted Pets to Store. The count updates automatically.
  3. Confirm the import in the dialog that appears.
  4. A progress bar will display. Do not close or refresh the page while the import is running.
  5. When finished, review the summary showing how many pets were imported, updated, unchanged, or had errors.

The import creates or updates WooCommerce products for each accepted pet and applies all edits made during review.

3. Quick Sync

Quick Sync skips the review process entirely and imports all pets from a file with default settings.

  1. Select Quick Sync mode at the top of the page.
  2. Optional: Enter an Acquired Date. This date applies to every pet in the sync.
  3. Click Sync Now next to the file you want to import, or click Start Full Sync to import all available files at once.
  4. A progress bar will appear. Do not close or refresh the page.
  5. Results display when the sync is complete.

4. Managing Declined Pets

Declined pets are permanently excluded from future syncs unless they are restored.

  1. At the bottom of the preview table, click Manage Declined Pets.
  2. A dialog opens showing each declined pet with its microchip, breed, source, reason, who declined it, and when.
  3. Use the search box to filter by microchip or breed.
  4. Click Restore next to any pet you want to re-include. It will appear in future syncs again.

5. File Management (Archiving)

After you finish syncing a file, you can archive it to keep the file list clean.

  1. Click the archive or trash icon in the Action column next to the file.
  2. Confirm when prompted.
  3. The file moves to a processed folder and no longer appears in the Available Files list.

Archived files are not deleted. They are moved to a processed/ directory and can be manually restored through file system access if needed.

Switch to Quick Sync mode and click Sync Now

Click Manage Declined Pets

Archive a file

Click the archive icon next to the file

Recommended workflow: use Preview Mode for most imports so you can confirm pricing, naming, acquired dates, and photos before anything is created in WooCommerce.
